Privacy notice

VisitLoop is operated by The Imagine Technologies ("we"). It helps shops, exhibitors and event organisers ("businesses") collect visitor details and interests so they can follow up. This notice explains what happens to information entered into a VisitLoop form, kiosk or staff screen.
Who is responsible for your data
The business whose name appears on the form decides why your details are collected and how they are used. It is the data fiduciary under the Digital Personal Data Protection Act, 2023. The Imagine Technologies processes the data on that business's behalf and does not use visitor details for its own marketing.
What is collected
- Your name, and if the business asks for it, your mobile number and city.
- The items or categories you showed interest in, any feedback you leave, and answers to the business's own questions.
- For staff-assisted entries, a short staff note and optionally an item photo.
- If the business asks, your Instagram username.
- Whether you agreed to receive offers, and on which channel: WhatsApp at the mobile number you gave, or Instagram messages to the username you gave. Each choice is recorded with the time you made it.
- Technical records needed to keep forms working safely, such as a hashed network address used for rate limiting. These are deleted within two days.
How it is used
Only to let that business follow up on what you asked about and, if you agreed, to send you its offers. Your details are not sold, shared with other businesses, or used to build profiles across businesses.
How long it is kept
Each business sets a retention period, by default 365 days. Records older than that are deleted automatically, including photos. A business can also delete a record earlier.
Your choices
- You can decline the WhatsApp and Instagram consent boxes and still submit the form. Without them the business will not message you on those channels.
- To see, correct or delete your details, contact the business using the privacy contact shown on the form. If you cannot reach them, write to privacy@thevisitloop.com and we will pass your request on within 7 days.
- Withdrawing consent stops future offers; it does not affect records the business needs to keep for its own obligations.
Security
Data is stored in a database hosted in India (Mumbai region) with access limited to the business's own team. Photos are stored privately and served through short-lived links. Platform staff see account and usage information only, never visitor records, unless a business asks for help with a specific record.
