Terms of service

These terms apply to businesses that create a VisitLoop account. VisitLoop is provided by The Imagine Technologies ("we").

Your account

• You are responsible for the people you invite (managers, staff) and the devices you pair as kiosks. Remove access when someone leaves.
• Keep your kiosk PIN private. Anyone with it can exit kiosk mode on your tablets.

Your visitors' data

• You are the data fiduciary for details collected through your forms. Collect only what you need, show the consent choice honestly, and honour requests to correct or delete records.
• Use consented contact details for your own follow-up only. Do not sell or share visitor lists.
• Set a retention period that matches your purpose; records are deleted automatically when it ends.

Plans and limits

• Each plan sets limits on active events, monthly submissions and storage. You are warned at 80% and the affected action pauses at the limit; nothing already saved is lost.
• Plan changes and payments are handled with The Imagine Technologies directly during the pilot.

Acceptable use

No spam, no collecting details for anyone other than your business, no attempts to access other businesses' data or to bypass limits. We may suspend accounts that put visitors or the service at risk; suspended accounts keep their data and can be reinstated.

Service

We aim for the service to be available at all times but do not guarantee it. Keep a paper fallback at busy stalls. We may change features with notice to account owners.

Ending the service

You can close your account at any time by writing to privacy@thevisitloop.com; we export your data on request and delete it within 30 days of closure.
